Title: Administrative Assistant / Office Manager

About the Role:  The Office Manager plays a key role in creating a positive and well-organized workplace experience. This position is responsible for managing front desk operations, maintaining relationships with landlords and third-party vendors for property management, and ensuring the office remains stocked with supplies and snacks. With a proactive and team-focused approach, the ideal candidate will take ownership of employee engagement activities, office upkeep, and onboarding logistics to enhance the overall workplace experience. More than just an administrative role, this person acts as the heartbeat of the office—anticipating needs, bringing energy to the team, and fostering a welcoming and supportive environment where employees can thrive.

What You’ll Do:

  • Serve as the first point of contact for visitors, ensuring a welcoming and professional office environment.
  • Manage relationships with landlords and third-party vendors for property management needs.
  • Oversee office snack inventory, ensuring supplies are stocked and aligned with team preferences.
  • Be proactive in identifying ways to improve the office experience and anticipate team needs.
  • Maintain general office tidiness, including common areas, conference rooms, and supply storage.
  • Partner with internal teams to facilitate onboarding logistics for new hires.
  • Manage incoming and outgoing mail, deliveries, and courier services.
  • Coordinate meeting room scheduling and assist with room setup for in-office meetings.
  • Foster a positive and engaging office environment, bringing enthusiasm and energy to create a workplace where team members feel supported and valued.
  • Plan and coordinate employee engagement activities, including office events, celebrations, and team-building initiatives.
  • Provide additional administrative support to various departments as needed.

What You’ll Bring:

  • Associate degree or equivalent work experience; bachelor’s degree a plus.
  • Experience in office management, reception, or administrative support, ideally in a fast-paced environment.
  • Strong organizational and time-management skills with the ability to anticipate office needs..
  • Excellent verbal and written communication skills, with a professional and approachable demeanor.
  • Proficiency in Microsoft Office Suite and general office software.
  • Ability to manage multiple tasks efficiently while maintaining attention to detail.
