🧠 About the Role

We are seeking a highly organized and proactive Executive Administrative Assistant to support executive leadership and operations. This role is critical to keeping day-to-day executive functions running smoothly and efficiently. The ideal candidate is detail-oriented, trustworthy, adaptable, and thrives in a fast-paced environment while maintaining strict confidentiality.


βœ… Key Responsibilities

  • Manage and coordinate executive calendars, meetings, and daily errands (including meals and personal tasks as needed)

  • Handle all travel arrangements from start to finish, including flights, hotels, transportation, itineraries, and last-minute changes with executive pre-approval

  • Coordinate events and travel for off-site locations

  • Assist with training setup related to operations

  • Prepare meeting agendas and capture detailed, accurate meeting notes documenting decisions and action items

  • Support facility operations in coordination with management, including meeting setup, supplies, maintenance, and event coordination

  • Maintain strict confidentiality across all business operations, including secure handling of credentials and sensitive information

  • Update and maintain company phone and email directories

  • Purchase and manage office and operational supplies; submit expense details for accounting approval

  • Ensure office equipment is fully functional and coordinate timely repairs when needed

  • Prepare and deliver daily executive summary reports to the CEOs, ensuring clear communication of priorities and updates

  • Serve as a liaison across departments and entities, working closely with the Lead Executive Assistant to ensure consistency and accuracy

  • Perform additional duties as assigned


🎯 Qualifications & Skills

  • Strong attention to detail, organization, and follow-up

  • Proficiency in Microsoft Word and Excel

  • Experience with travel planning, airfare and hotel research, and cost-conscious booking

  • Comfortable using travel and scheduling applications (iPhone preferred)

  • Excellent written and verbal communication skills

  • Ability to escalate issues appropriately and maintain alignment across teams

  • Proven ability to interact effectively with executives, directors, and staff at all levels


πŸŽ“ Education & Experience

  • High school diploma required; some college preferred

  • Minimum of five (5) years of related administrative or executive support experience, or an equivalent combination of education and experience

  • Demonstrated experience in problem resolution and executive-level support
